Terms of the Transfer Your Books School Exchange Campaign...
- The campaign is mainly directed to schools, students and active student groups in any of the following categories: (i) Elementary/Middle/High Schools (ii) Law Schools (iii) Engineering/Architecture Schools and (iv) Medical Schools.
- Interested participants are required to understand the reasons and terms of the campaign and only then become a participant by completing and submitting a registration form, thus assuring participants are aware of the reasons, order and goodwill of the campaign.
- Registration forms and the official Transfer Your Books informational package, which explains all aspects of the campaign, will be available at our website www.studentglobe.org and will be personally delivered and presented by Student Globe campaign representatives to school administrations, student councils, class officers or any other active student group at educational institutions ranging from elementary, intermediate, high schools, law schools, medicine schools, engineering schools, architecture schools and student groups island wide upon possible.
- All types of books will be accepted as long as they are in good to fair conditions and qualify for one of the following: (1) being specifically included in the container of 20,000 books that will be shipped to Luena, Angola upon the success of the Campaign (2) being shipped to the United States to social venture business enterprise Better World Books and (3) being appropriate for the three donations that will be made to local educational organizations in Puerto Rico.
- Books will be gathered at the lobby or at a similar, specific and central location of the participating educational institution.
- Student Globe directors and campaign representatives, in collaboration with the participant student group who submits the registration form will prepare an informative booth, display or table at the participating schools which will portray information about the Transfer your Books School Exchange Campaign, Student Globe, Better World Books, Books for Africa, PAEVT and the United Nations Millennium Development Goals.
- On specific dates, Student Globe directors and campaign representatives will visit the participating schools to assist in the book collection process, answer questions about the Campaign, the partner companies, the PAEVT School in Angola or any other related issue.
- The donated books will be deposited in boxes duly marked with the logos of the sponsoring book collection and book shipping companies Better World Books and Books for Africa.
- Once gathered Student Globe will scan all books to determine which ones qualify for transfer to Better World Books (BWB) and which will remain in Puerto Rico for transfer and donation to local educational institutions.
- The Campaign last 15 days & 360 hours beginning at 8am on May 1st 2009 and concluding at 5pm on May 15th 2009.
- The registration deadline is April 30th 2009; however an interested school or student group is allowed to register at a later date, although those who register after the deadline will be in disadvantage in comparison to those that begin exactly at May 1st.
- Completed registration forms can be submitted to transferyourbooks@studentglobe.org, through the website at www.studentglobe.org or personally to a Student Globe director. In case email or online submissions become problematic, forms may be turned in to: Commonwealth High School Room 24, 100 César Castillo, Urb. Roosevelt, San Juan PR and to the Law School Library desk at the Pontific Catholic University of Ponce, 2250 Avenida de las Américas, Ponce PR. For other cities in Puerto Rico or any other issue please contact the campaign director at 787-409-4355 to be put in contact with the closest campaign representative.
- The books donated must be property of the individual who makes the charitable donation or have direct authorization by the owner of the book to make the donation.
- Books owned by third-parties cannot be accepted without the owner’s consent [for instance high school students in possession of books owned by the school cannot make the donation without the consent and approval of the administration].
- Useful books donated by students throughout the schools and institutions of Puerto Rico will be collected and accounted by the students groups working on behalf of the participating schools with the support of Student Globe representatives.
- Student Globe representatives with the support of BWB will provide the participating student groups all the necessary materials for the administration of the book drive including posters, informational sheets, boxes and support.
- Each participant shall safely store all donated books in a secure location at the school until pick up and collection by Student Globe.
- Each book placed in the depository boxes constitutes a charitable donation to the Transfer your Books School Exchange Campaign and shall be treated by virtue of the terms, goals and purpose set forth in this campaign.
- Donated books will all be picked up and collected by Student Globe authorized representatives Friday May the 15th at the different participant schools.
- In case the school has no available space to safely place the books for the fifteen day duration of the campaign, then specific arrangements will be made by Student Globe campaign representatives to pick up the donated books.
- Once collected, all books will be scanned to determine those that will be delivered to Better Word Books and those that will be grouped for the three (3) local donations of books to be made in Puerto Rico.
- Student Globe will maintain at all time transparent and accurate accountability of the books donated at each school, in order to recognize and award those that collect the greatest amount of books in each of the categories: (i) Elementary/Middle/High Schools (ii) Law Schools (iii) Engineering/ Architecture Schools and (iv) Medical Schools.
- An award will be given per category to the school that collects the greatest amount of books.
- An award will also be given to the school that collects the greatest amount of resalable books .
- A commemorative bronze inscription will be placed at the entrance of the PAEVT School and public library of Luena, Angola containing the names of all the educational institutions from Puerto Rico that participate in the Transfer Your Books School Exchange Campaign.
- A special closing ceremony will be held on Friday May 22nd in San Juan, Puerto Rico where the results the campaign along with the category winners and winner of most resalable collected books will be announced.
- Registered participants that effectively conclude the campaign after the fifteen (15) day book collection period will be invited to the Transfer Your Books School Exchange Campaign closing ceremony and event to be hosted by Student Globe jointly with the Department of State and the Government of Puerto Rico.
- Each group that submits a campaign registration form and actively participates is automatically invited to the closing ceremony.
- A list of all individuals that participate and have worked for the campaign needs to be provided to Student Globe at the moment the books are picked up for closing ceremony invitations.
- The total capacity of people able to be invited to the closing ceremony is subject to the space of the venue in which the celebration occurs, which at this time is not known in exact certainty. The available spaces and invitations will be distributed equally amongst the participating groups with certain priority of additional event tickets to the winning schools in each category of awards.
- All those who complete and effectively form part of the campaign are granted the privilege to propose a beneficiary educational organization in Puerto Rico, if any, to receive one of the three local donations as outlined in the objectives and section iv of the terms.
- An election to select the three local Puerto Rico book donation beneficiaries will be celebrated at the closing awards ceremony. Each participating school is entitled to nominate one educational organization which would benefit from such donation. Each participant present at the ceremony is entitled to one vote.
- In order to cover expenses incurred in the implementation of the campaign, Student Globe solicits authorization to sell promotional campaign materials such as t-shirts, cups, stickers, bookmarks, etc.
- The following terms have been drafted, discussed, revised, edited and put into effect once ratified on Monday, April 27, 2009 by the Student Globe executive group 2009 - 2010 to result in a socially positive and transformative campaign. If during the implementation certain situations force the executive group and campaign directors to make decisions not specifically determined in the terms abovementioned, such decisions will be made in the fair interest of all participants and for the best possible result of the campaign’s goals and purposes.
- The Student Globe executive group jointly with the foundation members reserve the complete right to administer the Transfer Your Books School Exchange Campaign in their best judgment, capacity and value, and are not liable for any unintentional negative effect directly or indirectly related to the implementation of the campaign.
“Better World Books finds the best possible use for each book collected in support of [its] mission to promote literacy. Books are either sold to raise money for non-profit literacy programs, sent to one of [its] non-profit partners for use in their programs, or recycled if unsuitable for sale or partner use” (Better World Books FAQ, www.betterworldbooks.com).
“Participating Student Groups” refers to those that duly complete and submit a registration form.
A resalable book refers to any book Better World Books can sell for a profit to be reinvested in its literacy partners.
